Booth Studio – Terms & Conditions
(Booth Studio is a service operated by Groovy Entertainment Ltd.)
These Terms & Conditions (“Terms”) apply to all photo booth services provided by Booth Studio (a service operated by Groovy Entertainment Ltd) (“the Company”). By booking our services or signing the booking form, the Client agrees to these Terms.
1. Booking & Payment
1.1 A non-refundable booking fee is required to secure the event date.
1.2 The remaining balance must be paid no later than 14 days before the event.
1.3 If payment is not received by the due date, the Company may cancel the booking without refund of the booking fee.
2. Cancellation by the Client
2.1 If the Client cancels more than 30 days before the event, the booking fee is retained.
2.2 If the Client cancels 30 days or less before the event, the full balance remains payable.
2.3 All cancellations must be made in writing (email is acceptable).
3. Cancellation by the Company
3.1 In rare circumstances such as illness, equipment failure, or events beyond the Company’s control, the Company may cancel the booking.
3.2 The Company will refund all payments received.
3.3 No further compensation will be offered.
4. Changes to Bookings
4.1 Requests to amend times, packages, or event details must be made in writing and are subject to availability.
4.2 If the venue changes after booking, the Client must notify the Company. If the venue is unsuitable, the Company may decline the booking.
5. Venue Requirements
5.1 The Client must ensure the venue provides:
Adequate space for the booth setup
One 240V mains power socket
Safe access for loading/unloading
Suitable parking or drop-off access
5.2 If setup cannot be completed due to venue restrictions or access issues, the Company is not liable and no refund will be issued.
6. Hire Duration
6.1 The booth will operate for the agreed hire time.
6.2 Setup and pack-down do not affect the operating hire time.
6.3 If the event runs late, overtime may be charged at the Company’s standard rate and is subject to availability.
7. Equipment, Damage & Misuse
7.1 The Company will install and operate the booth unless otherwise agreed.
7.2 The Client is responsible for guest behaviour around the equipment.
7.3 The Company may suspend or end service if guests behave in a way that risks:
Damage to equipment
Safety concerns
Abusive or inappropriate conduct
No refund will be offered in these situations.
7.4 The Client may be charged for damage caused through negligence or misuse.
8. Technical Issues
8.1 The Company will make all reasonable efforts to provide uninterrupted service.
8.2 If equipment failure reduces operating time, the Client will receive a pro-rated refund for lost time only.
8.3 The Company is not liable for issues outside its control, including:
Power cuts
Venue restrictions
Loss of data or images caused by technical failures
9. Props
9.1 Props are provided for guest use and may vary by event.
9.2 Lost, stolen, or intentionally damaged props may incur a replacement charge.
10. Use of Images
10.1 Clients may use their photos freely for personal use.
10.2 The Company may use event photos for marketing unless the Client opts out on the booking form.
10.3 The Client is responsible for informing guests that photos will be taken.
11. Liability
11.1 The Company holds Public Liability Insurance.
11.2 The Company is not responsible for:
Injuries caused by misuse of equipment or props
Damage to property not caused by Company negligence
Losses resulting from delays, venue issues, or events outside its control
11.3 The Company’s total liability is limited to the total amount paid by the Client for the booking.
12. Force Majeure
The Company is not liable for cancellations or delays caused by events outside its control, including severe weather, accidents, transport issues, venue emergencies, or power failures.
